This Privacy Notice for Tansimo Software LLC ("we," "us," or "our"), the company behind the Handshapes platform, describes how and why we might access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:

  • Visit our website at handshapes.com or any website of ours that links to this Privacy Notice
  • Use Handshapes — a web-based platform that helps interpreting agencies schedule ASL interpreters, manage appointments and customer accounts, send job offers, track billing and rates, and gather feedback from consumers and clients.

1. What information do we collect?

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our Services, when you participate in activities on the Services, or otherwise when you contact us.

Personal Information Provided by You. The personal information we collect may include:

  • Names
  • Phone numbers
  • Email addresses
  • Mailing addresses
  • Job titles
  • Usernames
  • Passwords
  • Contact preferences
  • Contact or authentication data
  • Gender
  • Professional / employment information (certifications, specializations, hourly rates, availability, contract status)
  • Communication content (appointment notes, communication preferences, feedback)
  • Avatar / profile photo
  • Financial information (provided to our payment processor for billing)

Sensitive Information

When necessary, with your consent or as otherwise permitted by applicable law, we process the following categories of sensitive information to operate the Services:

  • Account login information
  • Debit or credit card numbers (handled by our payment processor)
  • Financial information including account access details
  • Information indicating that a person is Deaf or hard of hearing, and communication preferences associated with how they use sign language interpreting services. We recognize that being Deaf is a cultural and linguistic identity, not a medical condition. Some privacy laws nonetheless classify information about disability or health-adjacent status as "sensitive," so we treat this information accordingly.
  • Contents of inbound text messages received by our messaging service
  • Status as transgender or nonbinary (where an interpreter chooses to disclose gender as non-binary)

We use sensitive personal information only as necessary to provide the requested Services, for related operational purposes such as security and fraud prevention, and for legal compliance. We do not use sensitive personal information to infer additional characteristics about you.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases. All payment data is handled and stored by Stripe. You may find their privacy notice here: https://stripe.com/privacy.

Social Media Login Data. We may provide you with the option to register with us using your Google or Microsoft account. See "How do we handle your social logins?" below.

Information automatically collected

We automatically collect certain technical information when you visit, use, or navigate the Services, including your IP address, browser type and settings, operating system, language preferences, referring URLs, country, location, and information about how and when you use our Services.

  • Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect.
  • Device Data. Information about your computer, phone, tablet, or other device.
  • Error and session diagnostic data. We use a third-party error-monitoring service to capture information about errors and crashes. In some cases, and where permitted by our agreements with our customers, this may include recordings of a user's session leading up to an error. We use session recording only for debugging and never for advertising.

Google API

Our use of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Information collected from other sources

We may obtain information about you from the following sources:

  • Business customers acting on behalf of others. Our agency and customer users may provide us with personal information about other individuals — for example, an interpreting agency may create accounts for interpreters they engage, and a customer's scheduler may enter information about a Deaf consumer.
  • Identity providers. If you sign in with Google or Microsoft, we receive basic profile information from that provider.
  • Payment processor (Stripe). We receive billing-related information and transaction records.
  • Geocoding services. Address information may be sent to a geocoding service to convert addresses into coordinates for distance-based interpreter matching.
  • Messaging and email delivery providers. We receive delivery, bounce, opt-out, and inbound-message events from our email and SMS providers.
  • Error monitoring services. We receive technical error reports about user sessions from our error-monitoring provider.

We do not purchase personal information from data brokers, marketing partners, affiliate programs, or public-records aggregators.

2. How do we process your information?

We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law.

  • To facilitate account creation and authentication.
  • To deliver and operate the Services — scheduling, matching interpreters with customers/consumers, managing offers, recording feedback.
  • To respond to user inquiries and offer support.
  • To fulfill and manage your orders — process payments, issue invoices.
  • To request feedback from interpreters, customers, and consumers.
  • To identify usage trends and improve the Services.
  • To comply with our legal obligations.

3. When and with whom do we share your personal information?

We may share your data with third-party vendors and service providers who perform services on our behalf. The categories of third parties we may share personal information with are:

  • Cloud computing services (infrastructure hosting)
  • Data storage service providers
  • Website hosting service providers
  • Communication & collaboration tools (email and SMS delivery)
  • Payment processors
  • Performance monitoring tools
  • User account registration & authentication services (Google, Microsoft)
  • Finance & accounting tools
  • Customer support / ticketing
  • Mapping / geocoding services

We may also share information in the following situations:

  • Business Transfers. In connection with any merger, sale of assets, financing, or acquisition.
  • Google Maps Platform APIs. We share information with Google Maps when those features are used.
  • Other users of the Services. An interpreter assigned to an appointment will see relevant information about the customer and the Deaf consumer they will be serving.

Mobile information and SMS messaging

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of services — for example, our SMS delivery provider transmitting a message you have asked us to send — is permitted. Mobile opt-in data and consent records are never shared with third parties for their own marketing.

4. Do we use cookies and other tracking technologies?

We use cookies and similar tracking technologies only for operational and security purposes — not for advertising. These help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and assist with basic site functions.

We do not use cookies or similar technologies for advertising, behavioral marketing, retargeting, or to build profiles for advertising purposes.

5. How do we handle your social logins?

Our Services offer you the ability to register and log in using your Google or Microsoft account. We will receive profile information from your identity provider, typically including your name, email address, and a unique account identifier. We use this solely to create and authenticate your account.

6. How long do we keep your information?

We keep your personal information for as long as necessary to provide the Services, unless a longer retention period is required or permitted by law. No purpose in this notice will require us to keep your personal information longer than the period of time in which users have an account with us.

Except for: (a) financial and tax records, retained for up to 7 years to comply with accounting and tax obligations; (b) appointment and service records linked to other parties, retained as long as those parties' accounts remain active; (c) anonymized or aggregated data, retained indefinitely; and (d) information we are required by law to retain or that is necessary to resolve disputes or enforce our agreements.

7. How do we keep your information safe?

We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. However, no electronic transmission over the Internet can be guaranteed to be 100% secure.

8. Do we collect information from minors?

The consumer portal and all other parts of our Services are intended for users 18 and older. Minors should not create accounts; a parent, guardian, school, or agency should manage scheduling on their behalf. 9. What are your privacy rights?

You may review, change, or terminate your account at any time, depending on your country or state of residence. Email us at legal@handshapes.com to exercise your rights.

10. Controls for Do-Not-Track features

At this stage, no uniform technology standard for recognizing DNT signals has been finalized. We do not currently respond to DNT browser signals.

11. Do United States residents have specific privacy rights?

If you are a resident of California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah, or Virginia, you may have the right to request access to and receive details about the personal information we maintain about you, correct inaccuracies, get a copy of, or delete your personal information.

We have not sold or shared any personal information to third parties for behavioral advertising in the preceding twelve (12) months. Disclosure to our service providers is not the same as "selling" or "sharing" for advertising purposes — see /subprocessors for our current vendor list.

12. Global Privacy Control (GPC) handling

We do not sell personal information or share it for cross-context behavioral advertising. Because of this, opt-out signals such as Global Privacy Control have no effect on our processing — there is no sale or sharing to opt out of.

13. Do we make updates to this notice?

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Last updated" date at the top.
